IVy Client Scheduling and Payment Policy
1.1 Purpose & Scope
The IVy Beauty and Wellness is committed to providing a seamless and professional scheduling experience while ensuring fairness and operational efficiency. This policy outlines the guidelines for booking appointments, required deposits, and payment procedures. It applies to all clients scheduling services at The IVy Beauty and Wellness.
1.2 Policy Statement
To secure appointments and provide equitable access to our services, The IVy Beauty and Wellness requires all clients to maintain an active credit card on file within our scheduling and practice management system. A deposit will be required for most treatments at the time of booking to confirm the appointment.
1.3 Appointment Scheduling & Deposit Requirements
- All clients booking online or through our front desk are required to enter a valid credit card into our scheduling system.
- Most treatments require a 35% deposit at the time of booking, which will be charged to the credit card on file.
- The deposit amount will be applied toward the total cost of the scheduled service.
- Appointments that do not require a deposit still require a valid credit card to secure the booking.
- Clients will receive an email or text confirmation of their appointment upon successful scheduling.
1.4 Payment & Remaining Balance
- The remaining balance of the service is due in full at the time of the appointment.
- We accept major credit cards, debit cards, and other approved payment methods.
- Cash payments are accepted in-store.
- Any additional services requested during the visit will be added to the final balance and charged at checkout.
- The IVy Beauty and Wellness does not currently participate in medical service financing programs, including third-party financing options.
1.5 Health Insurance Policy
- The IVy Beauty and Wellness does not accept commercial or governmental health insurance for any of our services.
- All treatments and services are self-pay, and clients are responsible for full payment at the time of service.
- Upon request, we may provide itemized receipts for clients who wish to submit claims independently; however, we do not guarantee reimbursement from any insurance provider.
1.6 Cancellations, No-Shows & Deposit Forfeiture
- Cancellations made more than 24 hours in advance will allow the deposit to be applied to a rescheduled appointment or refunded upon request.
- Late cancellations (within 24 hours of the appointment time) will result in the deposit being retained as a cancellation fee.
- No-show appointments will result in the deposit being forfeited and an additional charge up to 50% of the scheduled service cost to the card on file before future bookings can be made.
1.7 Prepaid Services & Packages
- Clients purchasing packages or prepaid services must use them within the expiration period stated at the time of purchase.
- Prepaid services are non-refundable but may be transferred to another eligible service at management’s discretion.
1.8 Gratuities
- Gratuities are welcomed but not required and may be provided at the client’s discretion.
- Gratuities are appreciated and may only be processed through our POS system.
- IVy staff is not permitted to accept gratuities via private payment methods such as Venmo, PayPal, or other direct payment apps.
1.9 Payment Security & Confidentiality
- All stored payment information is securely encrypted within our practice management system and will only be used for authorized charges related to scheduled services.
- The IVy Beauty and Wellness complies with all applicable payment security standards to protect client information.
